The Passport Project (“The Passport Project,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information through www.thepassport-project.com (the “Site”), including information submitted when you contact us or request a proposal.

 1. Information We Collect. Information you provide

When you submit a proposal request, contact us by email, or otherwise communicate with us, we may collect:

- First and last name;
- Email address;
- Company name;
- Job title;
- Company or professional website;
- Project location;
- Services and areas of interest;
- Project objectives;
- Intended audience;
- Requested deliverables;
- Travel dates;
- Preferred project timeline; and
- Other information included in your inquiry or communications.

If you become a client, we may also collect information reasonably necessary to prepare proposals, communicate about the engagement, enter into and perform a contract, invoice for services, and maintain business and tax records.

Please do not submit Social Security numbers, government identification numbers, payment-card information, health information, account passwords, confidential guest or employee information, or other sensitive personal information through the proposal form or ordinary email.

If you provide personal information about another individual, you represent that you are authorized to provide it for the purposes described in this Privacy Policy.

Information collected automatically

The Site is hosted and operated using Wix. When you visit the Site, Wix may automatically process technical and usage information, including:

- Internet Protocol address;
- Browser, device, and operating-system information;
- Approximate location derived from an IP address;
- Referring and visited pages;
- Dates, times, and website interactions;
- Cookie and session identifiers; and
- Security, performance, diagnostic, and error information.

The Passport Project does not currently use separate third-party advertising pixels or independently enabled third-party analytics services. Wix may process information necessary to provide, secure, maintain, and evaluate its platform.

 

2. How We Use Information

We may use personal information to:

- Receive, review, and respond to inquiries;
- Evaluate potential collaborations and business opportunities;
- Prepare requested proposals, estimates, or recommendations;
- Communicate about proposed or active projects;
- Provide photography, video, editorial, evaluation, consulting, licensing, or related services;
- Establish and perform client agreements;
- Maintain business, accounting, tax, insurance, and legal records;
- Operate, maintain, secure, and troubleshoot the Site;
- Detect or prevent fraud, misuse, and security incidents;
- Protect our rights, property, safety, and business interests;
- Resolve disputes and enforce agreements; and
- Comply with applicable laws, regulations, and legal processes.

We do not add proposal contacts to a newsletter or promotional mailing list merely because they submitted an inquiry. If we offer marketing communications in the future, we will provide an appropriate choice and means of opting out.

 

3. Proposal and Project Information

We use information submitted through the proposal form to evaluate the opportunity, communicate with you, and recommend an appropriate next step.

Submitting a proposal request does not obligate either party to proceed and does not create a client, partnership, agency, fiduciary, or other professional relationship. An engagement begins only when the parties enter into a separate written agreement.

Website forms and ordinary email cannot be guaranteed to be completely secure. Please do not submit trade secrets or highly confidential information unless we have agreed on an appropriate method of transmission.

We do not claim ownership of materials you submit. You authorize us to process those materials as reasonably necessary to review and respond to your inquiry, prepare a proposal, and operate our business.

 

4. How We Disclose Information

We may disclose personal information:

- To Wix, which provides the Site’s hosting, form-processing, contact-management, security, and related infrastructure;
- To attorneys, accountants, insurers, or other professional advisers when reasonably necessary;
- When required to comply with applicable law, regulation, subpoena, court order, or other legal process;
- To investigate or prevent fraud, misuse, security incidents, or violations of an agreement;
- When reasonably necessary to protect our rights, property, safety, users, clients, or others;
- In connection with a merger, financing, acquisition, reorganization, sale of assets, or similar business transaction; or
- With your authorization or at your direction.

We do not sell or rent personal information. We do not disclose personal information for cross-context behavioral advertising or targeted advertising.

 

5. Wix and International Processing

Wix acts as a service provider supporting the operation of the Site and proposal form. Information submitted through the Site is stored and managed through the Wix Dashboard.

Wix and its affiliated companies and service providers may process information in the United States or other countries. Those countries may have privacy laws different from those where a visitor resides. Wix’s own processing is also governed by the Wix Privacy Policy.

 

6. Cookies and Similar Technologies

The Site uses cookies and similar technologies provided by Wix for functions such as:

- Site security and fraud prevention;
- Network and session management;
- Reliable page delivery;
- Platform stability;
- Performance measurement;
- Error detection; and
- Other functionality necessary to operate the Site.

The Passport Project does not currently use cookies for third-party behavioral advertising.

You can control or delete cookies through your browser settings. Disabling essential cookies may cause parts of the Site or its forms to function incorrectly.

If we later add advertising pixels, independent analytics, embedded marketing services, or other nonessential technologies, we will update this Privacy Policy and, when required, provide appropriate cookie choices.

 

7. Retention

We generally retain proposal requests and unsuccessful business inquiries for up to 24 months after the last communication.

If an inquiry results in a client relationship, we may retain related communications, contracts, project records, invoices, and transaction information for as long as reasonably necessary to perform the engagement and satisfy applicable business, legal, tax, insurance, accounting, and dispute-resolution requirements.

We may retain limited information necessary to document a privacy request, honor an opt-out, protect our legal rights, prevent fraud, or comply with law. Information may remain temporarily in backups until those backups are overwritten or securely deleted in the ordinary course.

 

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. These safeguards include using Wix’s hosted infrastructure and limiting access to business information to those with a legitimate need for it.

No website, form, email service, transmission method, or electronic storage system is completely secure. We therefore cannot guarantee absolute security.

9. Your Privacy Rights

Depending on where you live, applicable law may give you the right to:

- Ask whether we hold personal information about you;
- Request access to or a copy of your personal information;
- Request correction of inaccurate information;
- Request deletion of information;
- Object to or request restriction of certain processing;
- Withdraw consent where processing is based on consent;
- Request transfer of certain information in a portable format;
- Opt out of marketing communications;
- Appeal a decision concerning a privacy request; or
- Submit a complaint to an applicable privacy authority.

These rights are subject to applicable exceptions. For example, we may retain information when required by law, necessary to complete a transaction, needed to protect legal rights, or otherwise permitted by law.

To submit a request, email partnerships@thepassport-project.com with the subject line “Privacy Request.” We may take reasonable steps to verify your identity and authority before fulfilling a request.

We will not unlawfully discriminate against an individual for exercising an applicable privacy right.

 

10. Business Contacts Outside the United States

The Passport Project is based in Atlanta, Georgia and provides business-to-business services, including to hospitality organizations located in the Caribbean and Mexico.

Where another jurisdiction’s privacy law applies, we will process business-contact information for purposes reasonably connected to responding to an inquiry, considering a potential business relationship, performing a contract, complying with legal obligations, securing our operations, and pursuing legitimate business interests recognized by applicable law.

International visitors may contact us using the information below to ask questions or exercise an applicable privacy right.

 

11. Children’s Privacy

The Site and our services are intended for business representatives who are at least 18 years old. We do not knowingly collect personal information from anyone under 18.

If you believe that a person under 18 has submitted personal information through the Site, contact us so that we can review and, where appropriate, delete it.

 

12. Third-Party Websites

The Site may contain links to websites or services operated by other organizations. This Privacy Policy does not govern those third parties, and we are not responsible for their privacy, security, content, or practices. Review the privacy policies of third-party services before providing information to them.

 

13. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our Site, services, technology, or legal obligations.

The updated policy will be posted on this page with a revised “Last Updated” date. When required by applicable law, we will provide additional notice or request consent.
